Privacy Policy

This page covers Brain Mail, a personal application written and used by Juan Carlos Cisneros Pinto. It is published here because Google requires a privacy policy for applications that request access to Google account data.

What the application is

Brain Mail is a single-user tool. It brings the owner’s own email and calendar accounts into one local interface so that they can be read, sorted and replied to in one place. It has no other users, no public interface and no sign-up. It is not a product and is not offered to anyone else.

What data it accesses

With the account owner’s authorisation, and only for accounts he owns, the application accesses:

• Email — message headers, bodies and labels, in order to display, search and classify them, and to create reply drafts. The application holds no permission to send mail; every draft is sent by the owner from the mailbox.
• Calendar — event details, in order to display an agenda and to create events the owner asks for.

It requests no access to contacts, files, photos, location or any other Google service.

Where the data goes

Message and calendar data are stored locally, on the owner’s own computer, in a database outside any shared or synchronised folder. Access tokens are encrypted at rest and bound to the owner’s Windows login. The interface runs on that same machine and is not reachable from the internet.

One exception, stated plainly. Messages that cannot be classified by local rules are sent to Anthropic’s Claude to be sorted into categories such as newsletter, notification or action-required. What is sent is the sender, the subject and the first 500 characters of the message; only the owner’s own messages, only for that purpose, and Anthropic’s handling of them is governed by its own terms. Mail from the owner’s institutional accounts and from senders he lists as sensitive (banks, public administrations) is classified locally and never leaves the machine. No other third party receives any of this data. Nothing is sold, shared, published, or used for advertising, analytics or model training by the author.

Retention and deletion

Data is kept locally for as long as the owner finds it useful and can be deleted at any time by deleting the local database. Access can be withdrawn at any time from the Google account’s security settings, at which point the application can no longer read anything.
